It's 6:10 pm. Someone messages "Hi, 3 BHK in Baner, price?" Your salesperson sends the brochure. Two blue ticks. Then nothing.
Nobody decided to drop that lead. It slid down the chat list under 40 newer messages. By the time someone remembers, the customer has booked a site visit with the builder who replied twice.
Automating lead follow-up on WhatsApp means fixing three separate problems: noticing every enquiry, nudging the customers who go quiet, and reminding your team about the follow-ups only a person can do. This guide sets up each one in Querygen.
Why WhatsApp leads go cold

Step 1: Turn every buying signal into a lead
Open Sales in Querygen and select Create Lead Tracker. Choose which conversations to watch and which signals should create a lead: pricing questions, quote requests, demo or site visit bookings, and clear intent to buy. From then on, each matching enquiry becomes a card on your sales board, linked to the chat it came from.
The board starts with three lanes, New, Qualified, and Won. Rename them to match how you sell, for example New, Quote sent, Site visit, and Booked. As conversations move, Querygen suggests the next lane and you accept or dismiss the suggestion, or let matching suggestions apply automatically. Assign an owner to every card so the next step has a name on it.
If your team collects visiting cards at events, send the photo to the chat. A lead tracker can create the lead from the card and keep the photo as the source, so anyone can check the details later. Step 2: Nudge the customers who stop replying
Querygen has two tools for this. They look similar and solve different problems.
Conversation follow-up: for chats that go quiet today
A conversation follow-up waits after your last reply, whether you or Autopilot sent it. If the customer doesn't answer, it sends the next message after the delay you set, in minutes, hours, or days. The moment the customer writes back, the remaining steps are cancelled.
On WhatsApp Business API numbers and Instagram, follow-ups only go out while the customer's 24-hour messaging window is open. Querygen stops at 23 hours to stay safe. That means you write normal messages instead of templates, and Meta doesn't currently charge for non-template messages inside that window.
Rules keep follow-ups pointed at the right chats. Only follow up conversations with the "Quote sent" label. Skip anyone with an "Order placed" event in the last seven days. Message sequence: for decisions that take a week
A message sequence sends several messages with growing gaps between them, and stops for a customer as soon as they reply. Use it when the customer needs time: a course admission, a home loan, a wedding order.
You can enroll a lead from its card with Add to drip. Better still, attach a sequence and a waiting period to a lane on the sales board. Every lead that lands in "Quote sent" then gets the sequence without anyone remembering to start it. Each step can use the customer's name and saved profile details, the same way a personalized WhatsApp campaign does.

Step 3: Give your team the follow-ups only a person can do
Some follow-ups need a human: a phone call, a site visit, a revised quote. In Querygen these become tasks. A task tracker turns matching messages into tasks, including any message someone tags with #Task. Each task has an owner, a due date, a reminder, and a link back to the chat.
Each teammate can also opt in to a morning WhatsApp briefing of their open tasks, delivered at a time they pick between 5 am and noon. The day starts with a list, not with scrolling.

- Point at the exact thing: the floor plan, the 200-piece quote, the evening batch.
- Give a true reason to reply today. A slot, a price that holds until a date, a seat count. Never invent urgency.
- Ask a question that takes one word to answer.
- Stop after two or three nudges, and say when a message is the last one.
